Region Sjælland faced a change of course platform, and wanted a system that could improve their administration of courses and e-learning. In addition, they would also ideally like to be able to take their existing learning activities with them to the new platform.
Region Sjælland has streamlined their course administration
The need for a new LMS
Region Sjælland was already busy using another LMS (Learning Management System) for their course administration. But when the contract with their former supplier expired, the region had to search for a new solution.
"We wanted a well-functioning LMS for course administration that could handle both e-learning and physical activities. In addition, our future solution should ideally also be able to maintain the activities that we already had running in the Region" says Sine Wrist-Knudsen, Education consultant in Region Sjælland.
Therefore, they turned to their colleagues in other regions for inspiration. However, they ended up running a SKI tender to find just the right match.
"The administration of our courses has become much easier and faster, both in how they are made and the way they are conducted. Once we create a course, we can just copy it and adjust the date for future courses, as many of our courses are quite similar in structure. In addition, it is very flexible to be able to create standard messages, such as registration and confirmations, which will always connect new courses automatically. This makes the entire workflow incredibly flexible" - Sine Wrist-Knudsen, Education consultant in Region Sjælland.
"We were in the SKI tender with our LMS system and were introduced to plan2learn. It was clear to us in the presentation that the system could meet all our needs," elaborates Sine Wrist-Knudsen.
The region sat down with the implementation group from plan2learn and discussed how the process could best be planned.
”It was a smooth and fast collaboration. Plan2learn is a standard product, so there was no need for extra development during the implementation in our organization. Therefore, the focus was mostly on training the various administrators in HR, who were responsible for the day-to-day use of the system," explains Sine Wrist-Knudsen.
Automation saves resources
Plan2learn is now in full use at the Region, which has created 260 courses in the system since implementation. The biggest difference has been a big time saving in their course administration, where templates and automatic notifications are now used to cut down on manual work.

A well-known problem for an organization of this size can be the handling of materials on the individual course. This could be, for example, emails with details about the teaching, messages from teachers and other preparation material. There is also good news for Region Sjælland here.
”Previously, materials and messages from trainers could easily get lost in the employee's inbox, but in plan2learn all teams have a group room where everything they must use is all in one place. It's something we just have to get used to, but it's already something we greatly benefit from," elaborates Sine Wrist-Knudsen.
The managers in the organization can now also benefit from a better overview of the individual employees and how far they have reached with their courses.
”Our managers can now follow to a much greater extent which courses their employees have completed, both centrally and locally. We therefore have the opportunity to gather all our courses centrally and locally throughout our organization," says Sine Wrist-Knudsen.
First aid integrations
Although a difference can already be felt in the Region, there are still big future plans for the system.
”We are working to spread the use of the system even more in the region. There are still large resources to spare so that we can use the gunpowder elsewhere. We have automated far more workflows than before, simply because the system allows it. Right now we are also working on creating an integration from the system to our cardiac arrest dolls. It's a skill everyone needs to have, and the dolls are already out there. When we get the integration up and running, implementation will no longer have to be recorded manually by the individual teacher, but instead the system will provide documentation," concludes Sine Wrist-Knudsen.
