Esbjerg Municipality: Automatic onboarding of healthcare personnel

"When we hire a new employee, Plan2learn will automatically deliver the relevant e-learning material as part of the employee's onboarding. These include standard videos concerning the employee's future work responsibilities. This applies to all sectors within Health & Care, whether it is an occupational therapist, healthcare assistant or nurse. The platform saves us a lot of manual work"

That's according to Steen Meyer Larsen, IT consultant in Esbjerg Municipality. With Plan2learn, they have completely automated their onboarding of new employees in the HealthCare department. Read on to learn how they achieved such a feat.

Adjustment of e-learning opens up new possibilities

Esbjerg Municipality initially used Plan2lean to a modest extent, at least if you ask Steen Meyer Larsen. But since then they have scaled to such an extent that they can now use e-learning to manage their entire onboarding process.

"We had a very rewarding expansion process with Plan2learn, which centered around an ongoing dialogue about using e-learning as best as possible. The expansion has been incredibly easy, and began with a talk about how we should use e-learning videos and target groups to reach our goal" uddyber Steen Meyer Larsen.

In the past, a big challenge was the number of employees who had to register for e-learning courses manually through a time-consuming process.

"We have around 3,000 employees in Health & Care. All these employees have around 31 e-learning courses that are mandatory for them, so our big challenge was that we had to register everyone manually, and it was difficult to keep track of all the data after the fact” lyder det fra Steen Meyer Larsen.

"The platform saves us a lot of manual work, especially after we bought the management module. A manager can easily identify whether an employee has completed the various training courses. They can use this information to talk through the situation with the employee, and offer assistance or plan future initiatives. It is a fantastic tool for managers'' - Steen Meyer Larsen, IT consultant in Esbjerg Municipality

With a helping hand from employees in Plan2learn, Esbjerg quickly created target groups in the system. This allowed for them to easily connect individual courses to the right target groups, and allow the process to run automatically in the future.

"Plan2learn as an e-learning platform provides automatic targeting of content, as well as a greater overview for managers, and this has freed up a huge amount of resources for us. If you were quick, it used to take 15 minutes to manually register a user for 15 e-learning courses. Automating this action probably saves us between 1,000 and 1,500 hours annually just in our department.” says Steen Meyer Larsen.

Automatic onboarding is a great tool for managers

The new approach to e-learning saved a lot of manual resources, and the municipality saw an opportunity to take these principles further and cover an entire series of courses. This resulted in a major overhaul of the onboarding course that all new employees in the department must go through when they are hired.

The new onboarding process is now specialized to provide individual employees with a relevant and specific training course for their area of responsibility.

The platform saves us a lot of manual work" says Steen Meyer Larsen.

The digital onboarding process is also an essential tool for managers in the health and care department. It provides them with an overview and helps structure their tasks.

"The platform saves us a lot of manual work, especially after we bought the management module. A manager can easily identify whether an employee has completed the various training courses. They can use this information to talk through the situation with the employee, and offer assistance or plan future initiatives. It is a fantastic tool for managers'' explains Steen Meyer Larsen.

E-learning to play a big part in future efforts

As for future projects, Esbjerg has planned a greater implementation of e-learning for all staff in the municipality and an effort to produce their own video material.

“We quickly found out that most of our learning material can be adapted to an online format, and now we can hopefully implement this approach to onboarding to all of our staff. In addition, we would like to expand our e-learning production with a goal of making the video material ourselves, rather than having it delivered by external suppliers" ends Steen Meyer Larsen.
